TOKYO, March 1, 2010 — Fuji Xerox Co., Ltd. launched a data control solutionNote 1 for small- and medium-sized businesses (SMB) in February, which allows secure and low-cost management of important corporate documents at a remote data center.
The solution enables users to safely store documents on an online data center, as well as to easily upload, download or search not only electronic documents but also scanned data of paper documents, by linking Fuji Xerox's multifunction device or document management software, DocuWorks. It helps customers set up an environment for centrally managing important documents without having to own a dedicated server.
Features of the new solution
- Simple operation (Can directly store documents in the data center using a multifunction device.)
After scanning a paper document using color multifunction devices, including DocuCentre-IV C2260Note 2 released in December 2009 for small- and medium-sized offices, users can directly storeNote 3 the scanned data in a specified folder at the data centerNote 4 without a computer as an intermediate.
- High convenience (Enables handling documents on the data center using DocuWorks)
Fuji Xerox's DocuWorks software, which handles documents in a range of formats of different applications, offers direct accessNote 5 to the data center for uploading, downloading, list-viewing, searching and deleting documents. To allow customers to effectively use the software in all work operations that involve documents, Fuji Xerox now offers it as a monthly subscription serviceNote 6 (500 yen per license per month) in addition to the conventional offering as a package. Users can utilize the DocuWorks’ latest version while keeping the initial introduction and administration cost low.
- Lower risk of information leakage (Encrypts data for safe storage at the data center)
Paper documents scanned at a multifunction device or files registered using DocuWorks are encrypted and stored via the network outsourcing service "beat", at three data centers, located more than 100 kilometers apart from each other. Encrypted documents in the storages can only be decrypted with the beat-box, installed at customer's office, which reduces the risks of not only losing documents but also having information leaked during data communication or from the data centers.
As an initiative for Corporate Social Responsibility, today's businesses face the urgent task of compiling a Business Continuity Plan to safeguard their operations from the impact of a large-scale disaster and other contingencies, and to ensure swift business resumption. There is an expectation that, in handling documents legally required for safekeeping as well as critical documents for business continuity, companies digitize originals for external storage or other measures to disperse the risk of document loss. However, SMB operations often find it difficult to set aside sufficient fund or human resources for such measures.
Fuji Xerox will continue to introduce more solutions and services that help SMB customers streamline their operations and reinforce governance.
