Fuji Xerox's New Software Helps Streamline Document Management and Audit Procedures for Internal Control

TOKYO, January 13, 2009 — Fuji Xerox Co. Ltd. today launches the StatusMaster software, developed by Shimoda OA System Corporation, to support document management for internal control procedures in connection with the DocuWorks^{Note 1}, document handling software.

In line with the Financial Instruments and Exchange Law (Japanese version of the Sarbanes-Oxley Act) enacted in April 2008, listed companies are obliged to create and update a large volume of internal control documents along with collecting and managing evidence documents. At many small- and mid-sized offices, however, they still use software such as Excel and Word for documentation procedures and have been slow to develop document management systems that require a large amount of costs. Therefore, those offices require more time and workload for operational progress checks, evaluations and internal audits as documents including operation descriptions, flowcharts, and risk control matrices generated through internal control procedures are not linked with collected evidence.

StatusMaster enables to set up an integrated management environment to link documents generated by internal control procedures to related information and past records at a low-cost. By adding related information such as evaluation results when documents are registered, an operation progress management chart can be created automatically, as well as documents to show if the operations are complied with internal rules can be created, which facilitates audits.

By linking the software with DocuWorks, documents created in the past can be registered and managed together with future documents. Furthermore, paper documents can be scanned and registered directly to the StatusMaster server as digital documents with a Fuji Xerox ApeosPort^{Note 2} Series digital multifunction device using QR codes. These functions support the streamlining of document management and audit procedures for internal control at small-and mid-sized offices.

Fuji Xerox will continue to respond flexibly to the implementation and enhancement of internal control operations by strengthening its lineup of internal control support solutions.
